Position Summary
Soluroc is seeking a highly organized and detail-oriented Project Administrator to join our team in Sudbury. Reporting directly to the Project Manager, this role is responsible for supporting the successful coordination and administration of projects by ensuring schedules, documentation, communications, and reporting are maintained accurately and efficiently.The Project Administrator plays a key role in supporting daily project operations and acts as a central point of coordination between internal teams, vendors, and site personnel. This position is ideal for someone who thrives in a fast-paced environment and enjoys managing multiple priorities while maintaining a high level of accuracy and professionalism.Key Responsibilities
Project Coordination&Administration
Support the Project Manager in coordinating project activities, schedules, and deliverables Maintain organized and accurate project files, documentation, trackers, and records Prepare and distribute meeting agendas, minutes, and action items Monitor project milestones, timelines, and deadlines to support on-time completionAssist with onboarding documentation, permits, and compliance-related paperwork
Reporting&Documentation
Compile project reports, progress updates, and status summaries Maintain spreadsheets, budgets, purchase orders, and cost-tracking information Assist in preparing presentations, reports, and internal communications Ensure all project documentation is current, complete, and stored according to company standards
Communication&Team Support
Serve as a liaison between project teams, operations, vendors, and internal departments Coordinate meetings, site visits, and project-related logistics Respond to internal and external inquiries related to project administration
Procurement&Vendor Coordination
Assist with purchase requisitions, vendor coordination, and delivery trackingMaintain records of project-related expenses and supporting documentation Support inventory and material tracking as required
Compliance&Continuous Improvement
Ensure adherence to company policies, project procedures, and health&safety standards Identify opportunities to improve administrative processes and operational efficiency Support the implementation of recent systems, tools, and reporting processes
Qualifications&Experience
Postsecondary education in Business Administration, Project Management, Office Administration, or a related field is preferred 2–4 years of administrative or project coordination experience, ideally within manufacturing, industrial, construction, or mining environments Strong organizational and multitasking abilities with exceptional attention to detailExcellent verbal and written communication skills Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint Experience with ERP systems, project management software, or HRIS platforms is considered an asset Ability to work independently while collaborating effectively within a team environmentKey Competencies
Strong attention to detail and accuracy Excellent organizational and time management skills Problem‑solving mindset with initiative and accountability Effective communication and interpersonal skills Adaptability and flexibility in a fast‑paced environment Professionalism and ability to maintain confidentialityWorking Conditions
