Description
As part of the Wajax team, the Administrative Assistant/Receptionist is responsible for greeting onsite visitors to the branch. The incumbent will also be responsible for a variety of general duties to assist in the day‑to‑day office administrative requirements including ordering office supplies, booking meeting rooms, distributing incoming mail, mail merges for outgoing mail and preparing various documents within Word, Excel and PowerPoint.
The Role
Greets visitors, ensures safety procedures are followed regarding sign in/sign out
Book meeting rooms and arrange for any catering required
Responsible for document control– scanning and filing of daily customer&Vendor packing slips and transfers onto SharePoint and M3
Ensure that all incoming mail is sorted and distributed
Maintain and order office supplies on Grand&Toy and Unline, including RICOH printer cartridges
Assist with IT request as required
Keep up to date with the contractor binder and WCB documentation
Create and receive MRO POS for non‑inventory supplies
Close out POS machine and submit a summary to AR Daily
Invoice submission onto multiple portal platforms such as Ariba or OpenInvoice
Update safety board in the lunchroom and streamline safety in the branch
Conduct monthly inspections for JHSC meetings
Coordinate evacuation and imminent weather drills
Issue RMA’s for returned product and credits&Rebills for Inside Sales Representative and Finance as required
Submit new customer credit applications and customer account changes through DataMesh
The Candidate
Education: College diploma / Postsecondary Education
Work Experience: Previous office administration experience (2‑3 years)
Knowledge: Basic knowledge of industrial parts. ISO requirement knowledge is an asset
Proficiency: Microsoft Office, including Outlook, Excel, Word and PowerPoint
