Opportunity As part of the Wajax team, the Administrative Assistant/Receptionist is responsible for greeting onsite visitors to the branch. The incumbent will also be responsible for a variety of general duties to assist in the day‑to‑day office administrative requirements, including ordering office supplies, booking meeting rooms, distributing incoming mail, creating mail merges for outgoing mail and preparing documents in Word, Excel and PowerPoint.
Role
Greets visitors, ensures safety procedures are followed regarding sign in/sign out
Books meeting rooms and arranges for any catering required
Responsible for document control– scanning and filing of daily customer&Vendor packing slips and transfers onto SharePoint and M3
Ensures that all incoming mail is sorted and distributed
Maintains and orders office supplies on Grand&Toy and Unline, including RICOH printer cartridges
Assists with IT requests as required
Keeps contractor binder and WCB documentation up to date
Creates and receives MRO POs for non‑inventory supplies
Closes out POS machine and submits a summary to AR daily
Submits invoices onto multiple portal platforms such as Ariba or OpenInvoice
Updates safety board in the lunchroom and streamlines safety in the branch
Conducts monthly inspections for JHSC meetings
Coordinates evacuation and imminent weather drills
Issues RMA’s for returned product and credits&rebills for Inside Sales Representative and Finance as required
Submits new customer credit applications and customer account changes through DataMesh
Submits Min/Max requests
Investigates AP logs&AR disputes
Candidate
Education: College diploma / post‑secondary education
Work Experience: Previous office administration experience (2‑3 years)
Knowledge: Basic knowledge of industrial parts. ISO requirement knowledge is an asset
Proficiency: Microsoft Office, including Outlook, Excel, Word and PowerPoint
