Description You are an energetic, detail-driven administrative professional with document control experience, who thrives in a fast‑paced, project-focused environment. As our Project Administrator, you’ll play a key role in keeping the project running smoothly by coordinating administrative and operational activities across multiple initiatives. You’re a natural problem‑solver who looks for smarter, more efficient waysto improve processes and elevate project performance.
Essential Responsibilities
Utilize project management software to coordinate site requirements for employees working onsite
Support the administration of the document procedure, through receiving, filing and pertinent team notifications
Carry out a wide range of diverse, sensitive, administrative, operational, and technical duties within the department
Support administrative tasks related to workforce management, including onboarding workers in the system, managing workforce shift schedules, and coordinating vehicle and equipment pass registrations
Interface and communicate (written and oral) with all levels of management, field personnel, clients, subcontractors, and visitors
Provide assistance and act as a resource to management and co‑workers across different departments
Maintain appropriate databases for necessary reporting metrics and provide technical support to team members as needed
Compose correspondence, memoranda, and other documents as required.
Troubleshoot and debrief with department processes to continually improve products, service, and support provided
Qualifications
Diploma in Office/Business Administration or a related program, or an equivalent combination of education and experience
2-4 years of increasingly responsible office administration experience, preferably in a construction environment supporting management roles
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and project management tools. Familiarity with project scheduling and database management is an asset
Superior ability to multi‑task, manage interruptions, and handle deadlines efficiently
Analytical expertise in auditing, editing, and ensuring the accuracy and organization of all documents, reports, presentations, and data
Strong written and verbal communication skills
Exceptional interpersonal, problem‑solving, and listening skills.
Self‑starter with the ability to work independently and collaborate effectively with team members
