Senior Administrative Assistant, Finance
This role provides a blend of experienced administrative support, finance process coordination, and day‑to‑day operational assistance, ensuring that executive activities, financial workflows, and cross‑functional interactions run smoothly. Working closely with Finance leaders, internal teams, and external partners, the Senior Administrative Assistant brings strong organization, judgment, and attention to detail to time‑sensitive, confidential, and high‑impact work across the Finance function.Administrative and Operational Support
Provide executive assistance including effective calendar management, meeting preparation, and anticipating the needs of the Finance executives. Ensure smooth daily team operations by copying, printing, mailing, shipping, and ordering office supplies. Manage competing priorities while maintaining solid relationships with internal and external stakeholders.Demonstrate the ability to manage sensitive information with the highest level of diplomacy and discretion, exercising sound judgment when communicating and sharing information, always safeguarding organizational and individual privacy. Perform other duties as assigned. Financial Process&Expense Administration
Coordinate third‑party invoices ensuring they are tracked, coded, approved, uploaded, and paid accurately and on time; proactively follow up on outstanding items. Prepare and process expense reports accurately and promptly through Concur, ensuring compliance with company policies. Provide administrative supportand coordination for the quarterly financial close process, liaising between Finance, internal and external auditors, and other departments.Provide administrative support and coordination for the tax filing process, including liaising with other teams within Finance. Meeting, Event&Cross‑Functional Coordination
Assist in planning and coordinating internal and external meetings, leadership sessions, conferences, and team social events. Develop, edit, and format presentation decks, reports, and other documents in preparation for meetings. Schedule and coordinate complex meetings across time zones, ensuring appropriate materials, agendas and logistics are prepared in advance.Qualifications
Postsecondary diploma or degree in Business Administration, Office Administration or a related field, or equivalent work experience. 3‑5 years of administrative experience supporting senior leaders and executives in a corporate environment; experience supporting a Finance function is a plus. Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).Stellar communication and interpersonal skills, diplomacy, and tact. Excellent customer‑focus with a professional phone manner and ability to interact professionally with staff members at all levels of the organization, the press, and high‑profile clients, and other stakeholders. Outstanding organizational and time management skills with proven ability to organize, prioritize, and successfully manage multiple and shifting priorities, projects, and deadlines under pressure while maintaining attention to detail and accuracy.Proven self‑starter with strong work ethics, self‑motivated, resourceful, conscientious, punctual, and energetic. Experience with Concur, Blackline, Workiva, or SAP are considered an asset. Hiring Range
US Dollars $57,489.00– $71,860.00 per year (final pay within this range will be determined based on experience, skills, internal equity, and geographic location).
