In collaboration with the Department Chair and Administrative Officer, the Financial Assistant manages day‑to‑day financial activities for research grant administration and human resource processes for part‑time contract staff and students. The Financial Assistant is accountable for ensuring the prompt and accurate review, processing and reconciliation of expense claims, Pcard expense submissions,payment of invoices received from vendors for the purchase of goods and services, as well as the transfer of funds for non‑purchasing related requests ensuring compliance with University documentation standards, departmental controls, Western policies and procedures and external granting agency policies. The Financial Assistant is accountable for the prompt and accurate processing of job postings, hiring paperwork and payroll for part‑time staff and student appointments. The Financial Assistant acts as the first point of contact for inquiries, investigating and responding to departmentalissues related to financial research grants, expense claims, invoices and human resource issues involving part‑time staff and students. The Financial Assistant is expected to adhere to timelines and implement processes to meet specified deadlines. This role is critical to maintaining operational continuity, financial accountability, part‑time human resource management and timely support of academic and research activities.Qualifications
Education:
3 year undergraduate degree in Business Management/Administration Working toward or completed Certificate in Human Resources Management is preferred Experience:
4 years administrative, human resources and financial experience in a complex office environment Experience in an academic or unionized environment is preferred Knowledge, Skills&Abilities:
Knowledge of general accounting principles, human resource principles and practices, Employment Standards Act and other relevant legislation Customer service skills to understand customer needs and expectations, with a desire to deliver helpful and reliable service to the University community Proven ability and natural inclination to interact with people in a skilled, respectful and diplomatic manner. Strict sense of confidentialityVerbal and written communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience Detail‑oriented with an ability to function and process information with high levels of accuracy Problem solving skills with a sense of urgency in resolving issues and getting tasks completedPossesses a reputation for resourcefulness with a strong sense of accountability and initiative Results‑oriented with an ability to handle many tasks, meet tight deadlines and maintain a high level of individual and team performance Adapts readily and effectively to changing priorities and demandsIntermediate skills in Microsoft Office (e.g. Word, Excel, PowerPoint, Access, Outlook, CoPilot), Qualtrics and Adobe Professional Experience in PeopleSoft HR and Finance with the ability to assist others in system usage is preferred Ability and willingness to stay abreast of technological developments in software relevant to the positionWorking knowledge of University policies and procedures preferred Familiarity with tri‑council funding agency guidelines and policies Demonstrated commitment to ongoing learning and professional development Union Statement
