Project Administrator (EDM01PF) Location: CAN-AB-Edmonton
Job Overview The role supports project time‑entry and administrative functions for a large construction project in Fort McMurray. Candidates will work full‑time on site with a 14 days on / 7 days off rotation and 11‑hour days.
Responsibilities
Daily time entry, including preparing timesheets for foremen, reviewing timesheets, and cost coding for payroll entry and LEM creation for 150+ manpower.
Process daily LEMs for labour, equipment and material for the client.
Prepare documents for progress payroll and project billing, ensuring timely capture of information.
Support project controls and adhere to department policies and procedures.
Administer and manage inbound/outbound employee paperwork promptly.
Ensure new hire, transfer and demobilisation paperwork is complete and accurately filled out.
Maintain electronic employee history records while ensuring data integrity and confidentiality.
Maintain strict confidentiality regarding employee information.
Contact third‑party contractors to confirm all onboarding requirements are met before site work.
Review third‑party sub‑contractor LEMs and submit to client for approval when required.
Report to construction managers and assist project managers with document preparation and filing.
Provide general administrative and clerical support, including filing, scanning, copying and collating documents for distribution.
Maintain reports from manual or electronic files, inventories, mailing lists and databases; print reports for approval.
Manage office duties, order supplies, maintain inventory, and process incoming/outgoing mail as required.
Respond to client/employee requests and inquiries on site.
Perform other duties and projects as directed by the site manager, supervision and line manager.
Qualifications
Must have reliable transportation.
Minimum 5+ years of time‑entry experience.
Site administration experience in the construction industry.
HSE administration background is an asset.
Understanding of collective agreements is an asset.
Basic supply chain function experience is an asset.
Strong time‑management, organisational and multitasking skills in a fast‑paced environment.
Strong interpersonal, communication and customer‑service skills; ability to communicate professionally with tact and diplomacy.
Effective written and verbal business communication skills.
Ability to establish and maintain working relationships with supervisors and sub‑trade partners.
Must be over 18 years of age.
Proficient with Microsoft Word and Excel.
Education Completion of high school.
