We are currently seeking motivated candidates to fill an existing vacancy within our multidisciplinary team for the position of
Project Administrator . The successful candidate can be based at any one of our Western Canada office locations: Winnipeg, Calgary, Edmonton, or Yellowknife.
Responsibilities
Assist with planning and coordinating project activities, including scope changes, resource allocation, and schedule tracking.
Support Project Managers by processing invoices and monitoring budgets to positively impact cashflow and compliance with organizational procedures.
Oversee the lifecycle of project and financial records to ensure accuracy, organization, and data integrity.
Prepare reporting, summaries, and correspondence to support decision-making and project management requirements.
Organise project resources, including supplies, equipment, and documentation, to keep work running smoothly.
Reach out to internal finance and project staff to reconcile accounts, monitor expenditures, and address any issues.
Guide and support team members regarding organisational processes.
Support project close‑out activities, including final financial reconciliation, reporting, and archiving of project records.
Learning and Development
Participate in ongoing professional development and training to enhance knowledge and effectiveness in project administration and financial management.
Qualifications
Minimum of two years of administration‑related experience or a demonstrated combination of education, skills, knowledge and experience.
Prior experience in a project administration or project coordination role is considered an asset.
Post‑secondary education in a project management or an administration‑related program is considered an asset.
Experience
Understanding of basic accounting principles, terms and financial functions.
Understanding of project management concepts.
Proficient in the use of the Microsoft Office Suite, specifically Word and Excel.
Excellent attention to detail, a high regard for accuracy, and the ability to provide high quality outputs particularly in processing files and records with accuracy.
Excellent interpersonal, organisational and communication (written/verbal) skills.
A team player with the ability to multi‑task; collaborates with others to promote understanding and provide necessary support.
Experience in a professional services consulting firm (engineering/environmental/planning) is considered an asset.
