We are seeking a dedicated and organized Office Administrator / Sales Representative to oversee daily office operations while supporting and driving our sales processes. The ideal candidate will possess strong organizational and communication skills, with the ability to manage administrative duties alongside sales-related tasks. This role requires a proactive individual who can manage front desk activities, coordinate internal operations, and contribute to maximizing sales performance.Responsibilities
Supervise and coordinate office activities to ensure efficient operations. Manage phone systems and maintain professional phone etiquette while handling incoming calls. Oversee front desk operations, including greeting visitors. Develop training programs for new staff members to enhance their skills and integration into the team.Maintain organizational systems for files, records, and documents to ensure easy access and retrieval. Provide clerical support including data entry, scheduling meetings, and managing correspondence. Communicate effectively with team members to foster a collaborative work environment. Sales and Inventory Responsibilities
Inventory and track vehicle keys and ensure proper organization and accountability. Complete photos and detailed condition reports for client listings. Prepare and upload units to client websites and internal sales platforms. Create and process ownership documents and track ownership status. Contact bidders, follow up on leads, and work to obtain the highest possible bids.Post units across sales channels including Marketplace and other listing platforms. Assist with preparing units for sale, including basic coordination of cleaning or detailing. Maintain and update an active sales list of all available inventory. Track key performance indicators for sales and report on performance.Requirements
Proven experience in an administrative role with supervisory responsibilities preferred. Experience in sales, automotive sales, or asset remarketing is considered a strong asset. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent communication skills, both verbal and written, with professional phone etiquette.Experience in training development or mentoring is a plus.Proficiency in using office software, sales platforms, and phone systems is essential. Ability to work in a fast-paced environment and meet deadlines.
