We invite applications for the position of:
Online Learning Administrative Assistant, 20 hours per week, Monday through Friday. Current rate: $31.13 per hour plus 16.3% in lieu of benefits.
Qualifications Grade 12 education supplemented by completion of an office administration program certificate including bookkeeping; minimum two years recent clerical experience and experience working with student information systems or similar; demonstrated ability to manage data on a school-based administrative network, or similar, to meet district and ministry requirements; typing speed of 50 wpm; experience in computer/software user support, demonstrated ability to work well with others, and liaise with staff in non‑technical terms; experience in the use of relevant office technology and equipment; demonstrated ability to identify system issues and learn new software systems as required; proficient in Microsoft Office; ability to work with Digital Document systems; ability to support learning resources management systems, cataloguing, shipping/receiving, including digital or online resources; demonstrated ability to identify system issues, develop appropriate solutions, and create user‑defined reports using in‑house system; ability to work independently and as a member of a team; excellent interpersonal and communication skills.
Duties/Responsibilities Duties are performed under the supervision of the school Principal or Vice Principal, or designate; assists with preparation and maintenance of student records including transcripts, either paper or digital and maintaining student enrolment data, as well as supporting all aspects of registration, attendance and other related entries for student entrance and exit; assists in maintaining all school and student related databases, including the set‑up of user accounts, permissions, course structures and all data background entry; assists in verifying daily data entry and reports; stays current with knowledge of Ministry of Education requirements for graduation, enrolment data collection, and reporting processes; issues and maintains user information and software licenses, including passwords, for all related online systems, including user access to e‑mail, learning resources, learning management systems and synchronous communication software; assists students and staff in the use of system software and data entry; generates reportsas required from various systems; receives and distributes mail, either paper or digital, including registrations and enquiries; prepares, distributes, ships and receives instructional and other materials; maintains inventory as required, identifies items and suppliers for purchasing; purchases a variety of goods, materials, and services for online learning students as directed by the teacher; prepares, processes and maintains required accounting records such as invoices and expense reimbursements, purchasing cards and other accounts according to procedures established by the district; processes and prepares packing slips in support of resource distribution and inventory control; performs telephone, email and reception duties, responding to routine enquiries as appropriate; receives and receives incoming payments from clients; assists with other clerical duties as directed by school Principal or Vice Principal, designate or senior clerical staff; follows proper work procedures, observes all regulations pertinent to the work, maintains a good working relationship with other employees, and cooperates in maintaining a healthy learning and working environment; performs other related duties as assigned by the Supervisor; student supervision as required by the Principal or Vice Principal.
