Customer Relationship Manager (Collections Manager)
TORONTO, ON Excellent Oak VFA is an industry‑leading litigation support firm that delivers a full spectrum of litigation and economic support services to legal professionals and insurance companies across Canada. Job Summary
The Customer Relationship Manager reports directly to the President and is responsible for managing the collections process across insurance and legal client accounts. This role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced environment.Key Responsibilities
Manage Insurance and Legal collections boards in Monday.com, ensuring automation emails are sent out for all active files and that incoming responses are reviewed and addressed promptly. Monitor and manage the shared payments inbox, ensuring all customer payment submissions are received, reviewed, and actioned in a timely manner.Respond to legal requests regarding outstanding balances on select files, providing accurate and up‑to‑date account information. Conduct weekly follow‑up calls with legal contacts for collections and file updates, adhering to the call schedule and escalation structure outlined in Monday.com.Respond to insurance inquiries regarding document requests, prioritizing unpaid files to ensure outstanding balances are addressed before document release. Escalate files to management in a timely manner, clearly flagging concerns so that appropriate action can be taken. Process payments received from customers and insurance providers in Universal (invoicing software), mark files as complete in Monday.com, and scan cheques to the corresponding client folder.Proactively encourage customers to remit payments via EFT or e‑transfer where possible, to streamline the payment process. Desired Skills, Qualifications and Experience
Bachelor’s degree or college diploma (preferred). 3–5 years of experience in customer collections or customer service (preferred). Strong proficiency in Microsoft Word, Excel, and Outlook. Experience with Monday.com or similar project management tools is an asset. Excellent organizational, analytical, and problem‑solving abilities.Strong attention to detail with the ability to manage multiple priorities simultaneously. Professional communication skills, both written and verbal. Employment Type
