About the Position

The Project Administrator is based out of our Toronto head office and plays a key support role in the planning, scheduling, and coordination of projects to ensure they are delivered on time and to a high standard of quality. Working closely with project management, accounting, clients, designers, trades, and internal teams, the successful candidate will assist in managing projects from conception through to completion.Key Responsibilities

Work closely with the accounting / AP department to ensure all invoices, purchase orders and invoices are accurate Manage all project documents such as: close out documents, contracts, Pos, Cos, RFI Act as a liaison for Project Managers to provide site progress reports Prepare project schedule on Microsoft ProjectPrepare project cost summaries Complete inventory control and tracking reports Assist in obtaining permits and licenses as needed Ensure Health and Safety polices are followed at all times Closely monitor job costs with sub-contractors and suppliers to ensure budgets are met Prepare contracts, work orders, subcontract agreements, statements and start up packagesPrepare project status reports, including updated cost projects and schedules for project review Assist in the review of construction drawings and specifications Maintain site files, supplies, equipment and services as needed Maintaining cleanliness and organization of sites and office Keeping a daily log of site activities on the project including but not limited to: all trades and number of personnel/trades, description of work, weather, safety hazards or issuesMaintaining professional conduct and a good working relationship at all times with owners, trades, supplies, team members and tenants Receiving, tracking and inspection of site purchases and materials Support cost control, proper coding and management project within budget Review and analyze quotes with emphasis on obtaining the best prices in the marketInterest or education in estimating is a plus, as this role integrates into our estimating process Ad hoc projects as required Job Requirements

2+ years in a project Coordinator role or equal education 2+ years of administrative support in the construction industry is considered an asset Experience with Microsoft Project is considered an asset Educational background in: construction management, architecture, engineering or a related fieldKnowledge of construction management processes, means and methods Knowledge of building products, construction details and relevant rules, regulations and quality standards Solid understanding of the construction process Outstanding attention to detail Able to look ahead, plan and see the big pictureEffective time management, multitasking and logical decision-making skills A teamwork approach to all aspects of the work Willing to take on training, learn recent skills and grasp development opportunities Ability to work independently and as a team Valid driver’s license and access to a car is an assetAbility to exercise independent judgement and innovation Ability to address and resolve conflicts and disagreements immediately Proven exceptional organizational skills
