Seaforth Building Group– Bid/Project Administrator Company Overview: Seaforth Building Group is a company specializing in ICI (Industrial, Commercial, Institutional) projects. Position Summary: We are seeking a Project/Bid Administrator to join our team on a temporary 6-month contract. This role is ideal for a detail-oriented and organized professional who will support the full bid lifecycle, project documentation, and administrative coordination for our institutional and commercial construction projects.
Key Responsibilities
Oversee the full bid lifecycle, from initial tender document review through coordination and final submission.
Review and interpret tender packages, contracts, drawings, and project specifications.
Compile, organize, and submit bid packages in accordance with client requirements and deadlines.
Coordinate with engineering, operations, procurement, and project teams to gather required bid information.
Review and evaluate subcontractor and vendor quotations for competitiveness, accuracy, and compliance.
Track and manage active bids through online tendering platforms and internal systems.
Draft, review, and refine proposal documentation to ensure clarity, completeness, and compliance.
Conduct market research to support competitive pricing strategies and bid preparation.
Attend site visits as required to develop a working understanding of project scope and conditions.
Develop and maintain working relationships with subcontractors, vendors, and clients.
Support project administration through document control, file management, and coordination of project-related documentation.
Provide general administrative support for bidding, estimating, and project coordination.
Other duties as required.
Qualifications
2–4 years of experience in construction administration, bid coordination, or project administration, preferably in ICI construction.
Strong understanding of tendering processes, construction contracts, drawings, and specifications.
Experience with online tendering platforms and bid submission systems.
Strong organizational skills with the ability to manage multiple deadlines and priorities.
Excellent written and verbal communication skills.
High attention to detail and strong document management capabilities.
Proficient in Microsoft Office (Word, Excel, Outlook); experience with construction management software is an asset.
Ability to work independently and collaboratively in a fast-paced environment.
Valid G driver’s license and reliable transportation considered an asset for occasional site visits.
