Job Summary The role will involve shepherding accepted manuscripts through the publication process, coordinating with editorial and copyediting teams to ensure smooth progress of the manuscript through the various stages while maintaining accuracy and adherence to style guidelines and journal requirements. You will oversee the conversion of files for digital dissemination (PDF, HTML), maintaining the highest standards of quality and staying on schedule.
Your Impact We are currently seeking an organized, detail-oriented, and service-focused individual for the position of Production Editor. The Production Editor plays a vital role in the production cycle to transform scholarly medical and open science journal manuscripts into high-quality publications. You will collaborate with authors, editors, and colleagues throughout the publication process, upholding journal standards and industry best practices.
Primary Duties and Responsibilities
Manuscript Management:
Monitor manuscript status after payment, through the entire production cycle, from initial conversion to final approvals and post-publication submissions. This will include:
Ready the manuscript for copyediting.
Oversee the conversion process, ensuring all content and metadata have been ingested correctly.
Track corrections, revisions, and final approvals.
Ensure timely publication by proactively managing typesetting, proofreading, author review stages, and final approvals.
Content Editing and Quality Assurance:
Conduct thorough pre- and post-conversion quality checks, ensuring all content, metadata, and author data are accurate and complete.
Validate author data in metadata forms for completeness and accuracy.
Clean manuscripts for style consistency, identify and correct language errors, and check references for completeness and style.
Optimize PDF formatting and adhere to best practices in layout.
Address author queries and implement corrections according to journal style and AMA guidelines. Maintain clear and professional communication with authors and other JMIR staff throughout the process to resolve queries and to ensure the papers are published in a timely manner.
Ensure that relevant files are deposited and processed error-free in repositories.
Process Improvement:
Prioritize personal and team goals and contribute towards continuous improvement.
Actively participate in team meetings, contributing ideas for optimizing workflows and style guidelines.
Propose updates, improvements, and new content for authors and internal knowledge bases.
Offer support and coverage for colleagues during absences or peak workloads.
Identify and report technical issues to the development team, following up as needed.
Manage occasional additional ad hoc tasks related to the production department, at the request of the Production Manager.
Qualifications Education:
A university or college degree/diploma, preferably in an area related to communicating in English (such as Publishing, English studies, or Communications).
Required Skills:
Strong written and verbal communication skills in English
Excellent proofreading skills
Detail-oriented
Ability to consistently meet deadlines
Time-management and multitasking
Planning, organization, and project-tracking skills
Ability to work independently and demonstrate initiative
Ability to work collaboratively
Sound and mature judgment, tact, and good decision-making skill
Proficiency with current office-productivity tools (Google Workspace, MS Office, etc.) and the ability to learn the organization's web-based system for layout/typesetting
Must be eligible to work in Canada (for students see also Experience:
1–3 years of experience in editing, proofreading, and/or production editing
Experience with Google Workspace and MS Office suite of productivity tools
Experience in a small office where flexibility and multitasking are key
Assets
Familiarity with scholarly content and journal publishing
Experience with content tracking and management databases
Familiarity with XML and JATS
Familiarity with AMA style
Background that includes familiarity with life sciences such as medicine, biochemistry, pharmaceuticals, etc.
